Duty Statements
Parent Duty Statement
- Ensure that players attend training sessions and games. Advise the coach or team manager as soon as you know you will be unable to attend.
- Ensure that players arrive at training sessions and games at least ten minutes prior to the starting time.
- If the parent is not attending a training session or game, ensure that players are picked up promptly at the finishing time. All junior players (U8, U10 & U12) must be supervised at games by a parent or guardian. For ALL Under 8, Under 10 and Under 12 teams, there MUST be at least ONE parent or responsible adult at training at ALL times to help the coach should there be a problem or injury with a player.
- All players MUST bring a full water bottle to every training session and game. This will allow adequate re-hydration that is necessary during exercise.
- Where a child has an existing medical condition it is important that the coach be notified. It is important however for parents to realise that the coach has no responsibility for managing or monitoring any medical condition. In such a case we request that parents attend training sessions and games with their child.
- Notify coach or team manager if player will not be attending training session or game. Please give as much notice as possible. This is most important for games as the team will be fined if insufficient players turn out for the game (at least 4 must be present to start the game). It is the club's policy that this fine will be paid by the club. The Melbourne East Basketball Association (MEBA) requires 24 hours notice for a "notified walkover" otherwise an "un-notified walkover" fine is incurred.
- Parents are also reminded that there is an entry fee into ALL game venues. This is currently $2.50 (for each player and any spectator 12 years of age and over). Note that only one venue entry fee needs to be paid on one day. If planning to visit more than one venue ensure you get a pass-out (stamp) from the first venue.
- Parents are expected to take their turn on the scorebench at games. If you are new to basketball please sit with a more experienced scorer who will assist you with scoring. Team managers will roster parents for scoring throughout the season.
- Parents of new players (that haven't played in the MEBA before) must ensure that their child is registered properly. All registrations and payment are completed online.
- We encourage parents to take an active role in the club by taking a turn to be a team manager or nominating for a position on the committee. All teams require a team manager to email game details and pay weekly team sheet fees which the club gives you at the beginning of the season.
- Any parent who has a problem, concern or grievance should privately approach the team manager or coach. If a satisfactory outcome cannot be reached they should then contact their Age Co-ordinator.

Age Group Coordinator Duty Statement
- Liaise between team managers / coaches in their grade level and the club committee.
- Maintain the waiting list for players wishing to play in their age group. This should include player’s full name, address, phone number, birth date and if possible their skill level (e.g. never played etc.).
- Maintain a current listing of all teams in their age group.
- Co-ordinate with the selection committee, team lists prior to the end of season to decide on new seasons teams and proposed grading.
- Co-ordinate the completion of the team registration sheets for teams in their grade level at the start of each season.
- Distribute club information to team managers (e.g. newsletters, fixtures, fixture changes) as required.
- Ensure that team managers in their age group are fulfilling their duties.
- Attend club meetings as required.
President Duty Statement
- Oversee club management and administration.
- Ensure all requirements of Articles of Incorporation are adhered to.
- Chair club meetings.
Vice President Duty Statement
- Perform presidential duties in the absence of the president.
- Attend club meetings.
Club Secretary Duty Statement
- Organisation / notification of club meetings.
- Take / prepare minutes of all club meetings and promptly distribute these to committee members at least 1 week before the next meeting.
- Handle club correspondence.
Treasurer Duty Statement
- Manage club accounts.
- Signatory for bank account.
- Keep financial records.
- Pay bills.
- Manage petty cash account.
- Maintain list of financial / un-financial players, follow up un-financial players.
- Calculate budgets & set the fee structure (with committee approval).
- Assist with the registration of teams each season with the WBA/MEBA.
- Maintain club membership register.
Uniform/Equipment Coordinator Duty Statement
Organise the distribution, and purchase of uniforms (singlets/shorts, warm up tops, jackets etc) and equipment.
Newsletter Coordinator Duty Statement
Organise, edit and distribute the club newsletter. Liaise with the President and the Committee to obtain important dates, functions, human-interest stories etc for publication in the newsletter.
Committee Member Duty Statement
- Attend club meetings.
- Duties as required by committee.
- The following duties will also be distributed amongst committee members and other volunteers:
- Point of contact for MEBA, liaison with MEBA.
- Distribution of MEBA generated information (fixtures, player qualification information, notices etc.)
- Point of contact for public / community - passing new player names to appropriate age group co-coordinator.
- Attendance at MEBA meetings.
- Management of team training schedules.
- Organisation of and participation in club activities (e.g. bi-annual trophy presentation day, fund raising, sponsorship).
- Purchase, distribution and auditing of club equipment (such as basketballs, skipping ropes etc.)
- Preparation and distribution of club newsletter/registration forms etc, in conjunction with the Newsletter co-coordinator.
- Coaches point of contact/liaise with executive committee.
- Develop and keep updated a club waiting list for players wishing to play.
- General maintenance and management of any other club requirements and functions.
